1. Booking Regulations

1.1 The auditorium can be booked only six months in advance.
1.2 The auditorium is available for Social, Cultural, and Academic activities, such as lectures, seminars, conferences, workshops, meetings, and social awareness programs.
1.3 Political and family functions are strictly prohibited.
1.4 The booking is confirmed only after full payment and issuance of confirmation by management.

2. Event Management and Usage Restrictions

2.1 Organizers must use the auditorium only for the permitted purpose. Unauthorized use will lead to cancellation of the event and forfeiture of the security deposit.
2.2 The management reserves the right to modify, update, or introduce new rules for efficient and safe operations.
2.3 The auditorium staff has full authority to enter any part of the auditorium during an event.
2.4 Organizers must inspect the auditorium before taking possession and report any issues.
2.5 All requests and requirements must be submitted in writing; verbal/telephonic requests will not be entertained.
2.6 Events cannot exceed three hours in one session, including intermission. Extra charges apply for additional time.

3. Legal and Compliance Requirements

3.1 Organizers must obtain permission from the police department and submit a copy of the approval at least one day before the event.
3.2 Organizers are responsible for obtaining necessary clearances and no-objection certificates to ensure compliance with intellectual property laws.
3.3 Organizers must maintain law and order, traffic control, and safety measures. They will be held accountable for any legal violations.
3.4 The sound level must remain within permitted noise limits inside and outside the auditorium.
3.5 Fines or penalties due to non-compliance with laws will be the responsibility of the organizer.

4. Security, Safety, and Guest Management

4.1 Organizers must prevent overcrowding and ensure that guests do not sit on the stage, aisles, or steps. Additional chairs cannot be added.
4.2 Dancing inside the auditorium and loud music outside the premises are strictly prohibited.
4.3 In case of strikes, technical failures, natural disasters, or other unforeseen circumstances, management will not be held liable for losses.
4.4 If an event is canceled, written notice must be provided at least two days in advance (excluding the event date).
4.5 The organizer must sign possession and vacating reports while taking over and handing over the auditorium.
4.6 Children below 8 years must be accompanied by an adult.

5. Prohibited Activities

5.1 Smoking, alcohol consumption, and tobacco chewing are strictly prohibited. The organizer must also announce this prohibition during the event.
5.2 Food and beverages are not allowed inside the auditorium or on the stage.
5.3 Posters, banners, and notices may only be displayed in designated areas. Unauthorized placement will result in a fine of ₹1000 (+ GST) per item.
5.4 Advertisement banners outside the auditorium are allowed for up to 5 days for free; additional days will be charged at ₹300 per day (excluding GST).
5.5 Use of fireworks, party poppers, candles, and inflammable materials is strictly prohibited.

6. Equipment, Facilities, and Additional Charges

6.1 Organizers must use the in-house sound system and lighting. Any additional setup from external suppliers requires prior approval and a fee of ₹500 per hour per item.
6.2 External furniture is permitted only with prior approval. Auditorium furniture must not be moved.
6.3 Additional charges apply for generator usage (₹2000 per hour).
6.4 Drawing, painting, and use of tapes (except spike tape or chalk) are strictly prohibited. Any damage will result in compensation charges.
6.5 Fog machines, haze, or smoke effects are not allowed as they interfere with fire protection systems.

7. Cleanliness and Waste Management

7.1 Organizers must ensure that garbage is disposed of in designated bins. Separate waste removal arrangements should be made.
7.2 For decoration, only floral decorations are allowed in designated areas. Display of goods or products inside or outside the auditorium is not permitted.

8. Responsibilities and Liabilities

8.1 Organizers are fully responsible for any mishaps, accidents, or medical emergencies during the event. No medical facility is available at the auditorium.
8.2 Management is not responsible for lost, stolen, or left-behind items. Any lost items found can be collected the next day between 11:00 AM - 4:00 PM.
8.3 Any damage to the auditorium property (e.g., furniture, equipment, AC, lighting, curtains, etc.) must be compensated by the organizer.
8.4 Vehicles must be parked at the owner’s risk and removed from the premises within 30 minutes after the event ends.

9. Payment, Security Deposit, and Refund Policy

9.1 The security deposit will be refunded within three months from the event date, after deduction of any penalties or damages.
9.2 The final event settlement must be completed immediately after the event by submitting the deposit receipt to the office during working hours.

10. Management Authority & Dispute Resolution

10.1 The Chairman or Secretary of Gokhale Education Society has the authority to grant exemptions or relax certain rules in exceptional cases.
10.2 Any legal disputes will fall under the jurisdiction of Nashik courts.
