Sharman

General Rules and Regulations:

1. The hall Sharman is available for School and Collage events, eg. Seminars, conferences, expert talks, symposiums, prize distribution ceremony, workshops, etc, or technical events Faculty Development Programs, and training programs for school and colleges.

2. There are 300 seats in the Hall. A few seats in the first row are reserved exclusively for officials and organizers.

3. The Hall can be booked for one/two day’s event during the normal office hours from 10:30 am. to 05:30 p.m. (Monday to Saturday) and to be vacated within an hour after the event. If Hall is booked for Saturdays/Sundays and other holidays, it must be informed well in advance.

4. The damage, if any, made to the Hall fittings, fixtures, etc. during the course of use, the organizer will be responsible to make such loss by making payment for the damage.

5. Posters/Banners of publicity will not be allowed to be stuck on any portion of the Hall but will be allowed at the designated space specified in the Hall. Posters or notices are allowed only in the foyer, outside the Hall. On pasting posters or banners in hall Rs. 1000 plus GST will be fine per poster/banner.

6. No extra lights or mikes or audio-video equipment will be installed by the organizer without prior permission. Any other facility to be used other than provided will require Prior permission from the Hall in-charge and charges may be levied on the same if extra electricity, or water is involved in the use of that facility. For extra light Rs. 500 per hour, mixer-mic Rs. 500 per hour will be charged.

7. Smoking, chewing Tobacco, drinking of alcoholic beverages is strictly prohibited in the premises. The organizer will ensure that the rule is not violated. In case of violation, legal action will also be taken.

8. Designated spaces have been marked out for floral rangoli and floral decorations. Only floral decorations are allowed.

9. No firework will be allowed within the premises of the Hall. The organizer is legally responsible for enforcing the fire safety regulations within the premises.

10. Any kind of loud music outside the hall is not allowed.

11. For any mishappening/incident/medical emergencies during the event, responsibility will be that of the organizer of that Event.

12. Organizers are advised to take care of conference material/technical equipments/personal belongings of their party, as Hall Management will not be responsible for their safety.

13. In view of the prevailing security environment during the event, organizers of the program are to nominate designated representatives for identifying delegates and guests to ensure that only invited persons are allowed to attend the program.

14. Organizers are requested to avoid making loud noise and strictly adhere to the time slot forwhich booking has been made.

15. Organizers are requested to avoid overcrowding in the hall and premises. The furniture inside the Hall should not be shifted to any other place.

16. Organizers will be responsible to maintain law and order, traffic control etc as per Govt. and municipal corporation rules. Only organizers will be held responsible for any legal action on violation of law and order.

17. Hall booking can be done maximum 3 months before the Event on office between 10.30 am to 05.30 pm from Monday to Saturday.

18. Booking Cancellation charges and rates enquiry counter.

19. Deposit and booking amount (other than G. E. Society's management activities) will be paid as per norms set by all Colleges/Schools/Institutes/Academy's etc.

20. Event Managers will be made available if needed by G. E. Society on extra payment.

21. Catering facilities like Tea, Coffee, and Snacks will be made available in the premises in payment.

22. Cleanliness and Discipline is to be maintained in the Campus.

23. The organizer must sign the possession and vacation reports available with the office staff while taking over and handing over the auditorium.

24. Organizer shall have to pay extra Rs. 2000 per hour for towards fuel / diesel charges of generator.

25. Management is not responsible for personal belongings or any equipments of organizer.

26. The Chairman or the Secretary of the Gokhale Education Society may in exceptional cases exercise special powers and grant exemption from the enforcement of any rule or relaxation of any rule (not disturbing law and order) on the basis of merit.

27. No infringement of any copyright is permitted. Any infringement shall be at the sole risk of the host organization and the halls authority will not be held responsible for the same of any objects is allowed in the Gurudakshina Auditorium premises without

28. No sale of prior permission from the authority for the same.

c29. Safety of People/ Visitor for an event is Organizers Sole Responsibility.


Tariff Rules:

1. All bookings for the Hall will be made on the prescribed form only. Verbal/ telephonic conversations will not be permissible.

2. For booking amount please contact to Enquiry Counter.

3. In case of preponement / postponement / cancellation of the event the information should reach the Hall in-charge in writing in advance. Verbal or telephonic communication will not be entertained.


Catering:

1. Lunch or any other refreshment, eatables, etc. will not be permitted inside the Hall.

2. Catering services can be hired from any panel of caterers/agencies as approved by Society, contact cafeteria manager and finalize the rates of food and other items with them.

3. Organizers are required to ensure that catering facilities are strictly followed and to keep the premises clean after the event is over. Appropriate action will be taken in case of any deviation.

4. Caterer is not allowed to conduct any cooking activity in Cafeteria of the hall.
